Tracking invoices

By default when you make an invoice, a note of that invoice is entered in the project notes. (This is different than the session notes.)

When an invoice has been paid, you can edit this to show it has been paid.

To access projects notes, go to the Projects tab, click a project, click the icon in the upper right.

By entry

You can also make a negative expense to track payments or retainers. Make an expense by clicking the large + and choose Add Expense.

Some people set the expense date to the day or month the invoice was issued. Others prefer to set it to the date it was paid.

When you do a report, it will show the total for that period that hasn’t been yet paid.

Retainers

While OfficeTime doesn’t have a built in retainer tracking, you can create a negative expense (File-New Expense menu). Reports will then show a negative amount until you’ve generated more billable than the retainer.

Coming features

On our roadmap are improved invoicing features. One of our priority items is better tracking of paid and unpaid invoices.
