Managing your day would become more efficient with a good understanding on how your time was spent. By examining how your time was spent throughout the day it will enable you to begin to see what activities can be changed, simplified, adjusted or modified to consume less time spent on them. This process will make your day roll more efficiently, causing productivity to rise and thus saving you time.
Here is the 3-step Before-During-After plan for managing your day in 19-minutes.
- Before: Start your day by composing your to-do list and planning each task on the Daily Calendar. What will you be able to do today? What is attainable? What will move you towards your goals? Let the question guide your mind during this planning stage.
- During: Split your day into 4 equal-time parts. In a minute point out reflect how your time was spent during the hour. Without hesitation, question yourself what could you have done with any of the tasks or projects in that hour, more efficiently? Make note of any possible answers. In the best case scenario you were extremely efficient and had achieved maximum productivity. Repeat this exercise at the end of every one of your 4 equal-part splits. Take good notes on your discoveries.
- After: You will spend just another 3 minutes at the end of your day assessing how you spend the day. Take the notes you wrote down throughout the day and check for a single theme that you could change, simplify, adjust or modify to increase your efficiency and thus your productivity.
After repeating this exercise over some time, you will notice that your daily tasks are less time consuming and that your workload has lessened. As an added bonus, print the last blog and post a copy for your daily reference. Please, share your thoughts.
