OfficeTime can sync everything you do to your calendar and even find your appointments and add them to the correct projects.  If you use OfficeTime on a Mac, you might already know this. But this trick can work as well if you’re using OfficeTime on your iPhone or iPad.

 

OfficeTime for the iPhone or iPad doesn’t directly sync to the calendar.  However, with the help of the Mac version, your iPhone/iPad calendar will always stay up to date. There’s a 21 day trial of OfficeTime available at www.officetime.net if you’d like to try this trick.

If you’re using the iPhone/iPad version, sync it to your Mac.  Just tap the * button from the main screen of OfficeTime, tap Desktop Sync and follow the directions from there.

 

On the Mac side when making a new project, you are given the option to sync with the calendar of your choice.  Choose a calendar that syncs with iCloud.  In modern versions of Mac OS X, they all do.  If you’ve already setup your projects, just go to Edit->Edit Projects and you can turn on calendar sync from here.

 

Everything you create in OfficeTime will get sent to the calendars your chose.  You can have all calendar appointments sent to a specific project or you can be a bit more clever about it and have appointments smartly sent to the correct project. It works by looking for the project name in the title of your event.  So a calendar appointment named “Meet Re Acme Redesign” will be automatically added to your Acme Redesign project.

 

Now here’s the fun part.  If you have iCloud set to sync your calendars between your Mac and your iPhone/iPad, everything gets updated.  For instance, you create a meeting on your calendar on your iPhone, iCloud sends that over to your Mac, OfficeTime on the Mac reads it and sends it to OfficeTime on your iPhone. It all happens invisibly behind the scenes. All you know is that you make an appointment and it appears in OfficeTime.  Or you record a session in any OfficeTime and it appears in all your calendars.  This is a great way to visually see gaps in your day.

 

If you’re within wireless range of your Mac, it’ll all happen with seconds or a minute at most.  If you’re not, it’ll sync itself up next time you’re back.  We’re working on a cloud sync solution to make this happen while you’re on the road.
